This page is maintained by WorkCloser (operated by Nicolas Fruy SRL) to explain how WorkCloser handles personal data in line with the EU General Data Protection Regulation (GDPR). It describes what we collect, why, how long we keep it, and the rights you can exercise at any time.
1. Who is responsible for your data

2. What personal data we collect
- Identity — first name, last name.
- Contact — professional email address.
- Employer — your employer / company name.
- Home address — used to calculate commute distance and savings.
- Headquarters address — your employer's office location.
- Mobility budget & preferences — for personalised calculations.
- Account & consent metadata — sign-up date, consent timestamp, login activity.
3. Why we collect your home address
Your home address is the starting point of your commute. WorkCloser uses it solely to find Business Centers near you and to calculate the distance, time, cost and CO₂ savings of working closer to home instead of travelling to headquarters. It is never sold, never shared with your employer at street-address level, and is processed only to deliver the mobility features you use. Legal basis: performance of the service you request (contract) and your consent.
4. Why we collect professional email addresses in the Prospect flow
When you tell us your employer is not yet on WorkCloser ("Notify WorkCloser"), we record your professional email address. This lets us (a) confirm the request is genuine and tied to a real organisation, and (b) measure aggregated demand per company so we can prioritise onboarding that employer. We do not email your employer or run any automatic outreach, and we do not create an employer account from this. Legal basis: your explicit consent, given via the consent checkbox on the form.
5. How we use your data
- To create and manage your account.
- To calculate commute, cost and ESG impact.
- To show Business Centers relevant to your location.
- To capture and aggregate employer demand (Employer Interest).
- To meet legal and security obligations.
7. How long we keep your data
We keep your personal data only as long as your account is active or as needed to provide the service. When you delete your account, your profile, addresses, and lead records tied to your email are erased. Some minimal records may be retained where required by law.
8. Your rights
Under the GDPR you can, at any time:
- Access the data we hold about you.
- Download a copy of your data (data portability) — from your profile settings.
- Delete your account and personal data — from your profile settings.
- Rectify inaccurate data, restrict or object to processing, and withdraw consent.
To exercise any right you cannot complete in-app, email info@nicolasfruy.com. You also have the right to lodge a complaint with your national data protection authority.
